Responsibilities

  • Calendar Management – Scheduling of meeting with internal and external parties, room bookings for Directors
  • Project tracking through SAP-PS. Close monitoring of project milestones, finish date, reason for pend and delay, current status and follow-up actions
  • Work with project managers and/or team leads to follow-up and track on the status of various projects to facilitate monthly, quarterly & yearly reporting to Management
  • Workplan tracking, reporting and follow-up actions
  • Working closely with Project Management Office (PMO) on SAP-PS, Workplan and project related matters
  • Collation of data from Tower and Cluster Leads, for weekly/monthly/quarterly reporting
  • Consolidation of data for Director’s approval and submission to the relevant departments
  • Updating and maintaining of the Department’s Organisation Chart, SharePoint and Email Distribution Lists
  • Consolidate slides for department management meetings and sending out of slides prior to the meeting
  • Follow-up on action items for reporting in the next department management meeting
  • To process & submit invoices for approval before the deadline
  • Assist in the planning and execution of Team event(s), on an ad-hoc basis
  • Assist in the submission and obtaining of approval for the Department Welfare Fund
  • Manage the Department Welfare Fund utilization
  • Event Helper during corporate events e.g. Staff Conference
  • Assist to follow-up on outstanding items
  • Provision of administrative support and advice to the team, as required
  • Travel Request arrangement and claims
  • Tracking of Department assets, control devices eg ISS notebooks, secure HDDs and Thumbdrives

Requirements

  • Degree / Diploma holder with 2-3 years Secretarial / Project coordination experience
  • Strong knowledge of MS Office Applications (Word, Excel, Powerpoint)
  • Good communication skills and reliable team player
  • Willing to learn new things and take on challenges/task proactively
  • Knowledge of SharePoint and SAP will be an advantage
  • Ability to adapt to a fast-changing environment

Shortlisted candidates will be offered a 1 year agency contract employment.
