Responsibilities

  • Assist to manage the Cluster IT Lead's calendar, including scheduling and coordinating meetings, appointments, and events.
  • prepare meeting agendas, take detailed minutes, and follow up on action items. 
  • Handle correspondence and communications on behalf of the IT Lead. 
  • Organize and maintain filing systems, both digital and physical. 
  • Assist in coordinating logistics for team meetings, workshops, and other events. Screen and prioritise incoming requests and communications. 
  • Maintain confidentiality of sensitive information. 
  • Support administrative tasks related to IT projects and initiatives.
  • Coordinate and manage office supplies and equipment, ensuring all necessary items are stocked and operational.
  • Assist in organizing and coordinating company and department events, meetings, and conferences.
  • Handle incoming and outgoing communications.
  • Maintain and update records, files, and databases, ensuring data accuracy and confidentiality.
  • Support the preparation and processing of expense reports and invoices.
  • Assist in onboarding new employees and coordinating training sessions (if any).
  • Provide general office support to team members, including managing office logistics and resolving administrative issues. 

Requirements

  • Relevant Diploma degree, with at least 5 years of relevant working experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
  • Meticulous in planning, strong coordination skills, good communication (written and spoken) and following through with actions and escalation.
  • Strong organizational and multitasking skills with attention to detail.
  • Able to work independently, ensuring that all responsibilities are completed efficiently without frequent supervision as well as an effective team player in complex organization.
  • Ability to maintain confidentiality and handle sensitive information.
  • Demonstrate initiative and the ability to independently manage their responsibilities without needing constant oversight or reminders.
  • Experience in office administration supporting multiple directors, project administration support function and calendar management.
  • Demonstrated problem-solving skills and a proactive approach to tasks. 


Shortlisted candidates will be offered a 1 Year Agency contract employment.
